Streamline Your Google Drive: Harness the Power of Gemini for File Organization

For those who frequently work online, it’s likely that your Google Drive has gathered an overwhelming number of documents, images, and various files. Traditionally, Google’s tools for organizing digital content in Drive have been somewhat inadequate, often lacking an efficient search facility to locate or manage files. Recognizing this issue, Google has introduced a new feature aimed at assisting users in managing their digital content more effectively, and yes, it does incorporate artificial intelligence.
Last fall, Google began trialing a feature named Organize My Files within Drive, which started being rolled out to Workspace users in June. This functionality harnesses the power of Gemini, with Google stating that “Gemini can aid in organizing your Drive by suggesting where to relocate scattered files based on your organization preferences and strategies.”
Setting Up Gemini
Before you can utilize Gemini for tidying up your Google Drive, there are a few prerequisites to consider. First, you will need a Google AI Pro or AI Ultra subscription, as this feature is unavailable for free accounts, meaning it won’t show up in the Google Drive interface if you aren’t a paid subscriber.
If Google Drive serves as your main cloud storage solution, investing in an AI Pro subscription, priced at $20 per month, may be justified since it also includes an extra 5TB of storage and a YouTube Premium Lite subscription among other benefits.
The Organize My Files feature is accessible to Business, Enterprise, and Education customers, but note that personal files cannot be organized using a workplace account, and shared files cannot be organized either. The tool is limited to private folders.
Additionally, you need to enable Smart features in Google Workspace, which is enabled by default in most regions. If you’re uncertain whether the smart features are active, here are the steps to check:
- Open Gmail and click the gear icon.
- Select See all settings.
- In the General tab, scroll down and choose Manage Workspace smart feature settings.
- If it’s deactivated, enable smart features in Google Workspace.
Using Gemini for File Organization
Once you meet the requirements above, using Gemini to organize your files is fairly simple.
- Open Google Drive on your browser and select My Drive.
- Click Suggest file moves at the top of the interface.
- Review suggestions from Gemini, which will appear in a new window.
- Approve the changes you want Gemini to implement by selecting the checkboxes beside each action.
As Gemini helps reorganize your Google Drive, it may also recommend creating new folders to adequately store your files. You can view each file or document it suggests moving by hovering the mouse over the cards that display. However, note that Gemini does not rename files. Therefore, the effectiveness of the tool might vary depending on how your files are named.
It appears that Gemini does not analyze the contents of your documents to generate suggestions. Therefore, you will benefit most from its organizational features if your files have meaningful names and follow a specific naming convention. If your drive contains many untitled documents, Gemini’s assistance may be limited.
If you need to rename files, it would be beneficial to organize them into folders at the same time. This way, you can use Gemini for subsequent organization tasks on files that may not have been properly filed after creation.
