Streamline Your Workflow: Let PowerToys Handle Your Windows Tasks!

Windows often tends to complicate simple tasks, forcing users to navigate cumbersome methods. Have you ever launched an image editor just to resize a single picture or struggled to retype text you couldn’t easily copy? These small inconveniences can accumulate over time. Fortunately, there’s a useful solution available at no cost called PowerToys. This robust collection of utilities—over 30 in total—streamlines tedious tasks and enhances your Windows experience with just a few clicks or keyboard shortcuts.
You don’t have to utilize every single tool to derive benefits from PowerToys. Even selecting a few of them can save you a considerable amount of time, while others might not align with your existing workflow. Fortunately, most tools are quick to learn and easy to implement. Below are six PowerToys features you should consider trying out.
To get started, install PowerToys from the Microsoft Store, access the PowerToys Settings, and activate the features that interest you. You can also find additional settings and keyboard shortcuts for each tool within the settings menu.
FancyZones
Custom Window Layouts
FancyZones allows users to create tailored layouts for organizing application windows on their desktops. Instead of endlessly resizing window edges, you can designate specific zones and snap applications into those areas. This feature is particularly beneficial for users with ultra-wide or multi-monitor setups, where the default window snapping options can feel limiting.
To start using FancyZones, navigate to PowerToys Settings > FancyZones > Open layout editor. You can choose a preset layout or customize one that meets your needs. Once set up, simply hold Shift while dragging windows to snap them into the designated zones.
While I don’t personally rely on this feature often—holding Shift while dragging can be tedious for daily tasks—those with large monitors or who prefer custom layouts may find it particularly beneficial.
Extracting Text from Images
Have you ever needed to extract text from an image or a screenshot? Or worse, retype it? With PowerToys Text Extractor, you can easily retrieve text displayed on your screen without any hassle. Using optical character recognition (OCR), this tool allows you to highlight text and copy it directly to your clipboard. Just press Win + Shift + T, select the text you wish to capture, and release the mouse. The extracted text is then available for pasting wherever necessary.
While OCR technology isn’t flawless—issues can arise with unusual fonts or low-resolution images—it’s still an invaluable tool for anyone who needs to convert screen text into editable content.
Advanced Paste
Flexible Paste Options
Often, copying text is straightforward, but getting it into the desired format can be complicated. Advanced Paste offers enhanced control over how you paste content. After copying something, press Win+Shift+V to reveal a menu with options that let you paste as plain text, Markdown, or even JSON. You can also convert content into file formats like .txt, .html, or .png.
This tool also enables you to perform instant text extraction from images and reformat text before pasting. An experimental feature called Paste with AI allows for further transformations of the content prior to pasting.
PowerRename
Batch Renaming
Renaming files individually can be a tiresome task. PowerRename simplifies this process. Select your files in File Explorer, right-click, and choose PowerRename. You can specify what to find and what to replace it with, and the live preview will show you the new names in real-time, helping you avoid errors.
For those requiring even more advanced capabilities, the tool supports regular expressions and the option to sequentially number your files. This feature is especially beneficial for those who frequently manage large volumes of photos or documents.
Image Resizer
Quick Image Resizing
Resizing images by opening each one in an editor can take a significant amount of time. However, PowerToys Image Resizer simplifies this process directly within File Explorer. You can select one or multiple images, right-click, and choose Resize with Image Resizer. From there, pick a preset option or input your own dimensions. The tool will create resized copies while keeping your originals intact.
This feature is especially useful for creating email attachments or blog posts, allowing you to share multiple images without overwhelming recipients’ inboxes. It pairs well with PowerRename, letting you rename files and then resize them in a seamless workflow.
Peek
File Previews
File Explorer offers thumbnails and details, but they often don’t provide sufficient clarity to identify specific files, especially if their names are similar. Peek allows you to preview different file types directly from File Explorer by selecting a file and pressing Spacebar. You can check images, PDFs, documents, and more without the need to open each file individually.
It’s an effective way to efficiently browse through folders, like locating specific invoices in your Downloads folder or identifying the correct image amidst a series of similar pictures.
Streamlining Your Task Workflow
While PowerToys won’t overhaul every feature in Windows, you’ll find that certain tools can effectively minimize those daily frustrations. Focus on implementing one or two that specifically address your needs. Personally, the Peek, Text Extractor, and Advanced Paste functions have become indispensable in my routine, while FancyZones doesn’t fit my style. You can also customize shortcuts in the settings to better suit your workflow.
